eMaint Tip of the Week - Exporting from Memo fields to Excel and CSV documents - 6/4/2012 (Free to all users)

When running reports, and exporting to excel or .csv files, memo fields need a helping hand to export correctly.  Exporting a memo field is limited to 254 characters and must be accomplished with a calculated field.

Start by editing the report you want, or creating a new report, and opening the Columns tab.  Make sure that the table you wish to report on is represented on the left and use the Calculated Field button in the bottom right.




Add the table you want to run the report on in Field Table. Give a name to the new calculated field you’ll be creating in the Field Name section..  Add a description to better identify it when using it in the future in Field Description.  And finally, in Field Expression, you have to reference to field or fields you’re pulling from to perform the calculation.  

But, because we are limited to 254 characters, we need to ask the calculated field to pull that many characters from the memo field.  We specify that it starts displaying characters from the left-most point.

Our Expression is structured like this: LEFT(TABLE.FIELD,254)

In order to make that display the memo field Comments on the Work Order form, we put in the necessary Table and Field names.

LEFT(WORK.COMMENTS,254)




The fields above indicate that we're referencing the Work Orders table (WORK), calling our new field WOCOM as shorthand for Work Order Comments, and entering the expression that wants to look at the left-most 254 characters of the field Comments on the Work Order form. We save this calculated field and return to our list of calculated fields, click the checkbox for our calculated field, and click Add Fields. Keep in mind that when naming your new field, there is a limit of 8 characters and the new field and table name must both be expressed entirely in capital letters with no spaces.



After the field is added, we’ll see it display in the list named Output Columns.  Running the report will then display the information from the memo field in a way that is conducive to exporting in Excel or CSV formats.

2) The next step will be to log into your eMaint X3 account and click on the “My Account,” link which will be located to the top right of your screen.

eMaint Tip of the Week - Creating A Weblink Field - 3/14/2011

Steps Needed In Order To Create Field

  • Navigate to an existing record(work order, asset, part, etc) and then go to options and then customize form.
  • You will then want to add a new field.
    • Create a new TEXT field in which you want to make sure to set the character length to 254 characters. This will be needed to display the full url and link correctly to the document.
